This article will guide you through how to move from a Winner Design installation to a Winner Flex installation. Winner Flex runs on a cloud based server. Once you have upgraded to Winner Flex and have had an email from the dispatch team you can download Winner Flex.

Download and install Winner Flex
If you have a Winner Design installation your access to Winner Design will remain and you will be able to log in with your Winner Flex credentials. The Winner Flex shortcut is in the Winner folder but to ensure you are on the latest version follow the steps below and install and ISO file.
- Navigate to the Flex Cloud platform.

- Use your log in credentials to access the Flex Cloud web browser.
- Click on the Settings cog icon at the located in the left toolbar at the bottom of the page.
- Under the section Customer Portal select the option Products Download.
- Select the Download of the Winner Design (iso).
- Once the download is complete, navigate to the downloads folder and open the file.
- In the file you will see a virtual DVD drive called Winner on your PC, click on the SETUP.exe file within this.

Follow the onscreen prompts and complete the installation. Once the installation is complete you will see a Winner Flex shortcut on your desktop.
Note: If you previously had a server installation, click here for the instructions on how to migrate from the server installation to Winner Flex. - Double click on the Winner Flex icon and log in using your credentials.
First synchronisation in Winner Flex
Winner Flex can store certain files to be distributed to all users within the same shop or company. These settings are defined on Winner Flex’s first use.
You may install your software on multiple computers (for example at home and at the office), but you can decide which PC should be used to upload your settings.
You should pick the PC where all your catalogues are installed and indexes are set, before you install additional computers, for example at home. After the settings are synchronised, this will mean your catalogue indexes will be the same from your main device to any PC you use. User rights can then be set by a System administrator on the Flex platform.
Click this icon and then Upload for each of the 4 areas:
- Security roles
- System settings and project defaults
- Printout templates
- Catalogue conditions and settings
Settings for security roles and catalogue conditions are uploaded at a company level (so they are shared the same across all shops and cannot be different). System settings and user default settings are uploaded at a shop level (so shops will have their own settings).
Once you have uploaded each item, the Upload button for that item will disappear.
A Macro catalogue will be treated the same as all other catalogues and there will be 1 for the company for all users to access. If you have multiple macro catalogues please contact your local support team prior to installation.
If you use customised forms these will be synchronised across the whole company, however layouts can vary per shop. For more information on forms see: Winner Flex: Synchronisation of my forms
If you use Standard texts in Winner Design, these will need to be exported and imported per shop. All users within that shop will have access to the same standard texts. For more information on Standard texts see: How to create and use Standard texts
How are Project databases affected?
Once the migration has been completed, the only database that will require manual migration is the projects database.
When migrating projects through to Winner Flex, we advise to check if you have multiple project databases with duplicate project numbers. This is because when you migrate a project it will retain the project number assigned in Winner Design. Where a project or invoice number is already present in Flex, the project will not migrate. In this case you can import the project as new which will give it a new project number and will not have any documents or status attached to it.
During the migration, Winner Flex will also try to map the Salesperson and Designer assigned to the local project with the same Salesperson and Designer registered in Flex. It is therefore recommended that you register all the users (Salesperson/Designer) in the Flex database before starting migrations of projects.
It is recommended to only migrate current projects, however if you would like to migrate all projects, this does not have to be completed prior to go live and can be staggered. This can be managed through Number range rules and it is recommended to discuss this with your local support team.
The PC will need to be connected to the server to migrate over the projects required. Please see Winner Flex: Project migration process from offline database.
NOTE!: Ensure that there is a backup of the Winner > DB > Projects folder before disconnecting from the server. For information on how to create a backup click here.
Only one user will need access and will be able to migrate projects to the Flex platform. Once migrated the projects will be accessible by all users. New projects created in Flex will be stored on the Flex platform, therefore you only need to migrate old projects that are in progress.
Catalogue management
As Flex is a cloud based system, User Defined Catalogues, catalogue settings and index settings (cost & sales price) will be synchronised across all installations within the company and all users will by default have the rights to edit this. To restrict these rights you can set up security roles see: Creating / Editing a security role and Flex: How to assign roles to users.
Catalogue databases will also be stored locally on users' computer. The user will need to download the catalogues on all PC's but the settings will be downloaded from the Flex platform.
If you have multiple shops and locations who will need different cost and sales prices, or if you would like to have control over how catalogues are indexed you can consider using CMC. The Catalogue Management Component is an extension which enables a nominated system administrator to manage all downloads and indexing for the shop. This is then released by the system administrator for individual users to then download. For more information see: CMC: How to set up and use the Catalogue Maintenance Component
When moving to Flex, all users will need to re-download all supplier catalogues associated with your account and this will ensure they have the newest catalogue version available, however there are options to have the download activated by the System Admin for all users, so this can be discussed with your local support team.
Administrator Rights
Prior to migration, it is important to consider user roles and rights within the company. System Administrators will have rights to edit all details relating to the Company, Users, Custom Settings, Licenses, System Locks and will also have access to Usage Logs.
This can be managed through User Roles per shop, however it is important to consider which users will take on the role of System Admin.
