When a catalogue has been installed prior to using it you are required to approve the Cost and Sales index in the catalogue settings. This can also be known as index settings, price settings or adjustments, price index settings or setting purchase price and setting sales price.
This means pricing the catalogue - setting the cost of items to you and the price you will be selling them for. You will be unable to use the downloaded catalogues in a plan until you have confirmed the indexes.
IMPORTANT! When you have finished indexing make sure to check the index settings approved box and then the catalogue is ready to use.
Access Catalogue information when opening Winner
- Once you have downloaded catalogues, reopened Winner and the catalogue installation is complete, the Catalogue indexes window will appear.
The new catalogues needing indexing will automatically be selected.
- Click the Index button.
- In the Registered catalogues window, the newly installed catalogues will be highlighted in red and marked with an X status in the Indexes not approved column.
- Double click one of the catalogues requiring approval to get to the Catalogue information window.
Access Catalogue information from the Winner Menu
If the catalogue is not newly installed and you want to update the indexing, follow the instructions below to access the catalogue information:
At Project level
- Click Register in the Menu bar and select Catalogues
- In the Registered catalogues window, any unindexed installed catalogues will be highlighted in red and marked with an X status in the Indexes not approved column.
- Double click one of the catalogues requiring approval to get to the Catalogue information window.
How to set the indexes via the Catalogue Information window
- New catalogues will show a Cost index of 1 and a sales index of 1. This is treated as 100% of the catalogue price.
- An example of a manufacturer discount is if 45% is given, the Cost index column should read 0.55, as the retailer would pay 0.55 of the cost price.
- If you wanted to make more profit, for example a further 20%, this would be added on to the Sales index so it would read as 1.20
- The whole catalogue or individual price groups/models can be adjusted as required.

When setting indexes for:
The whole catalogue enter values in the top cells of the Cost index and Sales index columns as this will populate all calculation groups.
- Tick the Index settings approved box in the top left to confirm the index settings.
- Click OK
- In the Registered catalogues window, the 'X' status on the selected catalogue should have now moved to the Updated column.
- Click Close
The catalogue will now be ready to use.
Setting up indexes for different levels
You may wish to set up different indexes at different levels within a catalogue, for example you may get a different discount from the manufacturer for a certain model. Follow the steps below to achieve this.
Note: The option to do this is catalogue dependent. Indexes set at lower levels take precedence over higher levels.
When setting indexes for:
- Different calculation groups, enter the values on the specific calculation group row.

Specific models use the + button at the end of the calculation group row. At model level some catalogues have a further + button enabling to go down a further level.
Price calculation assistant
When using a catalogue that is priced in points or Euros, it may be more useful to use the Price calculation assistant. This can be accessed for the whole catalogue or an individual price group by pressing the ±? button in the Catalogue information window. In the Price calculation assistant window there are three sections:

Product - Search the catalogue via code or model and check the pricing as it is currently set. You can set the indexes to be focused around a key product that you are sure about the margins required. Click the more options button to access the Select product or Select model windows:

Prices - The Points/price in the catalogue will show the value for the item selected.
In the cost price ex VAT, type in the buying price for that item excluding VAT.
In the sales price inc. VAT, input the selling price for the item including VAT. - Result - This section will highlight how the index settings will change according to the adjustments made.
Click Apply to confirm the changes. Winner will calculate a cost index and sales index from the ratio of the pricing.
